Roles & Responsibilities
Financial & Budget Management
● Responsible for accurate and timely financial reporting to IGLYO’s multiple funders, in full compliance with the specific rules and requirements of each funding source
● Budget management; oversee IGLYO’s global budget and update it regularly to account for changes in projected costs, changes in activities and other such eventualities
● Work with the teams in IGLYO to oversee their expenditures, with assistance from the Executive Director.

Financial Processing & Administration
● Manage large-scale institutional grants, including EU-funded grants, ensuring accurate budget monitoring, expenditure tracking, forecasting, internal coordination and compliance with donor rules and audit requirements.
● Process receipts and payments in an accurate and timely manner, and ensure they are received in accordance with grantor rules and regulations.
● Encode and enter all income and expenses into the accounting system; this work can be delegated where appropriate to the Finance & Administration Officer. Oversight remains with the Finance and Operations Manager

Organisational Operations
● To support the Executive Director in ensuring the organisation is up to the highest level
of standards when it comes to employment law, as well as other forms of governance
● Review policies as set by the Executive Director for best practice rigour, as set up in Belgian law
● Proper storage of employment documentation in line with legal and contractual requirements (such as timesheets, contracts, identification, etc)

Line & Office Management
Manage IGLYO’s Finance and Administration Officer to:
● Ensure the efficient day-to-day running of the office systems, supplies, technology and equipment
● Liaise with service providers, technicians and building administrators to ensure a good maintenance level of the premises.
● Liaise with IGLYO’s various insurance providers

Personal specifications
● At least 5 years experience in an financial management role
● Experience in office administration
● Experience in grant management & grant reporting at the national & international levels
● Experience managing organisational and/or project budgets, including monitoring expenditure against budget lines
● Experience in writing organisational & financial policies
● Good spoken & written English & French or Dutch - at least B2 level, with a preferred C1 level
● Excellent organisational & numerical skills
● Knowledge of office management systems & procedures
● Accuracy & attention to detail
● Ability to manage several activities & deadlines simultaneously
● Ability to be proactive and work autonomously
● Approachable manner & ability to answer a wide range of enquiries in a prompt & courteous manner
